Connecting payroll platforms and Alice: general instructions

If your payroll system has its own Alice setup guide, please start there. If it does not, follow the general instructions below.

To set up the connection between Alice and your payroll platform, you will:

  1. Set up a non-employee admin account for Alice.
  2. Create two pretax deduction codes (one transit, one parking) and two non-taxable reimbursement codes (one transit, one parking).

You can usually do all of this in a few minutes. If you would rather walk through it on a Zoom screenshare, email payroll@thisisalice.com or reply to your onboarding email and we will book a time.

Step 1: Admin account for Alice

Set up an administrator account in your payroll system with:

  • Access Levels: Reporting, Payroll Processing, and Full Admin
  • First Name: Alice
  • Last Name: Financial
  • Username: Aliceuser
  • Email: alice@thisisalice.com
  • Phone: 917-336-9115

Step 2: Two deduction codes and two reimbursement codes

If your payroll system only supports deduction codes, set up the reimbursement codes as additional deduction codes and confirm with your payroll rep that a reimbursement can be entered as a negative deduction.

(A) Pretax deduction — transit

  • Name: Alice Transit Deduction
  • Frequency: Every Pay Period
  • Effect on pay: Reduced Pay
  • Component Type: Non-Taxable Deduction Code for Commuting
  • Calculation Type: Flat Dollar Amount
  • Deduction Type: Section 132 — Commuter
  • W-2 Box: 14 — Other

(B) Pretax deduction — parking

  • Same fields as (A), with Name: Alice Parking Deduction.

(C) Non-taxable reimbursement — transit

  • Name: Alice Transit Post-tax Earnings
  • Calculation Type: Flat Dollar Amount
  • Component Type: Non-Taxable Reimbursement Code
  • Frequency: Every Pay Period
  • Effect on pay: Adds to pay

(D) Non-taxable reimbursement — parking

  • Same fields as (C), with Name: Alice Parking Post-tax Earnings.

When all four codes and the admin account are in place, email payroll@thisisalice.com so we can complete the connection.
